Terms and Conditions of Reservation, Agreement Conclusion, Deposit, and Cancellation

  1. The Terms and Conditions of Reservation, Agreement Conclusion, Deposit, and Cancellation define the rules for:
    a) Booking accommodation at SHED Living Kraków
    b) Concluding an accommodation agreement at the Property
    c) Making payments: administrative fee and deposit
    d) Cancellation and termination of the agreement
  2. Reservation and Accommodation Agreement at SHED Living Kraków
    Booking and concluding the agreement are carried out through the following steps:
    2.1. The applicant selects a single room or a place in a double room and the accommodation period at www.shedcoliving.com/pokoje. After making a selection, the applicant is redirected to the online platform to finalize the reservation and agreement.
    2.2. The applicant provides personal data necessary to make the reservation and conclude the agreement.
    2.3. After entering the data, the applicant reads and accepts the content of the agreement, the reservation terms, and the privacy policy.
    2.4. To finalize the reservation and conclude the agreement, the following payments must be made through the online platform:
    a) A reservation fee of 300.00 PLN. This is a one-time, non-refundable administrative fee, not deducted from the rent.
    b) A deposit equal to one month’s rent.
    2.5. Available payment methods: Visa, MasterCard, bank transfers, Blik. Online payments are processed by Autopay S.A.
    2.6. In the case of card payments, the processing time starts upon positive authorization.
    2.7. Once the payment is received, the Owner will send the applicant the accepted version of the agreement via email and/or the selected application. The applicant must sign the electronic agreement within 3 days.
    2.8. Within 3 working days from receiving the signed agreement and deposit payment, the Owner will also sign the agreement via the electronic system.
    2.9. The agreement is fully concluded only after all of the following steps:
    a) Reservation fee payment
    b) Deposit payment
    c) Agreement signed by the applicant
    d) Agreement signed by the Owner
    2.10. The reservation fee is non-refundable in case of cancellation.
    2.11. If a refund is necessary for a card transaction, the Owner will issue the refund to a bank account confirmed by the applicant via email, within 30 days from receiving the correct bank account number.
    2.12. Both parties may mutually agree on alternative methods for concluding the agreement and making payments for the deposit and reservation fee.
  3. Deposit
    3.1. Upon signing the Accommodation Agreement, the applicant is required to pay a Security Deposit equal to one month’s rent, including utility costs.
    3.2. Payment of the deposit guarantees the room reservation in accordance with the agreement.
    3.3. The deposit serves as security in case of damages or unpaid rent.
    3.4. After the contract ends, the deposit is refunded to the account indicated by the resident within 30 days of the end date.
    3.5. Deductions for damages, missed rent payments, lost keys, or uncleaned room will be subtracted from the deposit.
  4. Cancellation Before Agreement is Signed
    If the applicant receives the agreement but does not sign it within 7 days, the reservation is cancelled. The reservation fee is non-refundable.
  5. Cancellation After Signing but Before Move-in
    If the applicant signs the agreement but has not yet moved in, they may cancel if:
    5.1. Their university application is rejected or they choose to study in another city
    5.2. They are denied a visa to Poland

Proof of the above must be provided.

  • For study-related cancellations: a written rejection or acceptance letter from another institution must be submitted.
  • For visa-related cancellations: written proof of visa denial must be submitted.

Cancellations for any other reason are only possible if the resident finds a substitute for the reserved room and time period. The current resident is released from obligations once the new resident takes over, and the deposit is refunded.

  1. Cancellation After Move-in
    Cancellation after the start of the rental period is only possible by finding a substitute.
    6.1. Once a substitute is found, the resident is released from the agreement, and the deposit is refunded, minus a 300 PLN administrative fee for handling the process.
    6.2. The agreement is terminated on the day the new resident takes over. SHED Living Kraków will issue a settlement, and any overpaid rent will be refunded.
    6.3. The substitute must be over 18 and sign a new agreement, paying all required fees as per the agreement and these terms.
    6.4. Refunds for rent and deposit will be made only after the new agreement is signed and paid for.
    6.5. If no substitute is found and the resident moves out, the agreement remains valid, and rent obligations continue until the end of the contract.
  2. Changes to the Agreement
    Shortening the stay is not possible. Extensions are possible only if rooms are available.
    Room changes within the same type or to a different type are allowed once, free of charge, before the contract starts (subject to availability). A change in room type requires a deposit adjustment.
    After move-in, a room change requires a 300 PLN administrative fee.
    Each room change, including swaps between residents, requires an administrative fee from each participant.
  3. Cancellation Due to No Show
    The agreement may be terminated if the resident does not show up and does not pay the first rent within 7 days after the scheduled start date.
    In this case, the Owner reserves the right to keep the deposit as compensation for the termination caused by the resident, unless the resident notifies the Owner at least 3 days in advance and pays the rent for the given month. In that case, the agreement remains valid and the deposit is not forfeited.
